1. Who we are
This privacy policy explains how "Keratin4U" ("we", "us", "our") collects, uses and protects your personal information when you use our website keratin4u.co.uk or book and receive our mobile hair treatment services.
We provide mobile hair treatments — including keratin treatments, Nanoplastia and Hair Botox — across Hampshire and the surrounding areas.
For the purposes of UK data protection law, we are the data controller responsible for your personal data.

2. The information we collect
Depending on how you interact with us, we may collect:
- Identity and contact details — your name, address, email address, phone number, and how you prefer to be contacted.
- Booking and appointment information — the services you book, appointment dates and times, your location/address for the mobile visit, and any notes you provide.
- Treatment and consultation information — details relevant to providing your treatment safely, such as your hair type and history, previous treatments, and any allergies, sensitivities, or scalp or skin conditions. Some of this is health-related "special category" data — see section 5.
- Payment information — we may take payment in person or online. Card payments are handled by our payment provider; we do not store your full card details.
- Communications — messages you send us by email, phone, WhatsApp, social media (e.g. Instagram) or our website contact/booking form.
- Website and technical data — IP address, browser type, device information, and how you use our site, collected via cookies and similar technologies (see section 7).
3. How we collect your information
We collect your information when you:
- Contact us through the website, by phone, email, WhatsApp or social media;
- Book or enquire about an appointment;
- Complete a consultation before treatment;
- Make a payment;
- Browse our website (via cookies and analytics).
4. How we use your information and our lawful basis
We only use your personal data where the law allows us to. The lawful bases we rely on are:
- To perform our contract with you — managing bookings, providing your treatment, arranging the mobile visit, and taking payment.
- Consent — sending you marketing or offers (where you have opted in), and processing health-related information (section 5). You can withdraw consent at any time.
- Our legitimate interests — responding to enquiries, keeping records of treatments provided, improving our services, and protecting our business against fraud or non-payment.
- Legal obligation — keeping financial and tax records as required by law.
5. Special category (health) data
To carry out treatments such as keratin, Nanoplastia and Hair Botox safely, we may need to record health-related details — for example allergies, sensitivities, or scalp or skin conditions.
We process this information on the basis of your explicit consent and to allow us to provide treatments safely. We keep these records for insurance and safety purposes, and you can ask us to delete them subject to our legal and insurance obligations.
6. Who we share your information with
We do not sell your personal data. We may share it with:
- Payment providers (e.g. [PAYMENT PROVIDER — e.g. SumUp / Zettle / Stripe]) to process payments;
- Booking, website and IT service providers who help us run our website and manage appointments;
- Professional advisers such as our accountant or insurer where necessary;
- Authorities or regulators where we are required to do so by law.
Any third parties we use are required to keep your data secure and to use it only for the purposes we specify.
7. Cookies and website analytics
Our website uses cookies and similar technologies to make the site work, remember your preferences, and understand how visitors use the site (for example via [ANALYTICS TOOL — e.g. Google Analytics]).
You can control or disable cookies through your browser settings. Disabling some cookies may affect how the website functions. [If you use a cookie consent banner, describe it here.]
8. How long we keep your information
We keep your personal data only for as long as necessary:
- Treatment and consultation records: kept while you remain a client and for a reasonable period afterwards for safety and insurance purposes [specify period, e.g. up to 7 years].
- Financial and transaction records: kept for at least 6 years to meet HMRC and accounting requirements.
- Enquiries that don't lead to a booking: kept for a short period and then deleted.
When data is no longer needed, we securely delete or anonymise it.
9. How we protect your information
We take appropriate technical and organisational measures to keep your data secure, including restricting access, using secure devices and accounts, and using reputable third-party providers. While no system is completely secure, we work to protect your information from unauthorised access, loss or misuse.
10. Your rights
Under UK data protection law you have the right to:
- Access the personal data we hold about you;
- Ask us to correct inaccurate or incomplete data;
- Ask us to delete your data ("right to erasure");
- Restrict or object to how we use your data;
- Request a copy of your data in a portable format;
- Withdraw consent at any time (where we rely on consent).
To exercise any of these rights, contact us using the details in section 1. We will respond within one month. There is normally no charge.
11. Marketing
We will only send you marketing communications if you have agreed to receive them. You can opt out at any time by contacting us or using the unsubscribe option in any message.
